Terms of Service

Last updated 6 October 2026

This is the agreement between your studio and Evil Empire Studios of Hamilton, Ontario, Canada, who make and run Ovrseer. By using Ovrseer you are agreeing to it. If you are agreeing on behalf of a studio, you are confirming you are allowed to.

What you get

Access to Ovrseer for your studio, at whichever plan you are on. What each plan includes is on the pricing page, and that page is the authority — it is generated from the same file the software reads, so it cannot drift from what you actually get.

Plans include setup by us and unlimited staff. We do not count seats, and we will not start.

Paying for it

  • Subscriptions are billed in advance through Stripe. Card details go to Stripe and never reach us.
  • Prices can change, but not during a period you have already paid for, and we will give you at least thirty days’ notice before a change affects you.
  • Upgrade whenever you like and it takes effect immediately. Downgrade and it takes effect at the end of the period.
  • If a payment fails we will tell you and try again before anything is suspended. Nobody loses access to their building over a declined card without hearing from us first.

Leaving

Cancel whenever you want, from inside the app or by writing to us. You keep access until the end of the period you have paid for. We do not refund the remainder of a period, and we do not charge an exit fee.

Export your records first — they are available in standard formats such as CSV at any time, including after you cancel and before the data is deleted. If you want an export after you have lost access, ask us and we will produce one.

Your side of it

  • Keep your administrator accounts secure, and remove people who leave. An administrator can see everything, including the record of who was in the building.
  • Only enter someone’s details if you are entitled to. That includes crew, clients and anyone whose documents you upload.
  • Manage door codes responsibly. Ovrseer will generate, issue and revoke them; deciding who should have one is yours.
  • Do not use Ovrseer to break the law, to harass anyone, or to attack the service or the people hosting it.

What Ovrseer must not be relied on for

Ovrseer controls doors, an alarm, lighting and heating, and it depends on the internet, on hosting providers, and on the manufacturers of those devices. Any of them can fail. Ovrseer is not a life-safety system, not a fire system, and not a security-monitoring service. Keep a physical means of entry and exit that does not involve this software, keep whatever your fire code requires, and do not let Ovrseer be the only way anyone can get out of — or into — your building.

Related and less dramatic: temperature scheduling is a convenience, not a guarantee. If something in the building must not get cold, give it its own protection.

Keeping it running

We work hard at this and we do not promise a percentage. Ovrseer is a small product run by the people who also use it every day, which is the best thing about it and the reason there is no support desk at three in the morning. We will give notice before planned maintenance where we can, and we will tell you what happened afterwards where we could not.

Whose data, whose software

Your data
Yours. We hold it on your instructions, we do not sell it, and we do not use it to train models. The privacy policy sets out what is held and who can see it.
Our software
Ours. Your subscription is permission to use it, not ownership of it. Do not copy it, resell it, or take it apart to build a competing product.
What you tell us
If you suggest a feature and we build it, we own what we built and you owe us nothing for it. Most of this product exists because somebody said something went wrong.

Suspending an account

We can suspend access if an account is being used to break the law, to harm somebody, or to attack the service, and we will explain why. Short of that we will talk to you before we do anything that stops your studio working.

Where the limit sits

If we get something wrong and it costs you money, what you can recover from us is capped at what you paid us over the twelve months before it happened. We are not liable for lost profit, a lost booking, or the knock-on consequences of an outage.

Nothing here limits liability that cannot legally be limited, including for death or personal injury caused by negligence.

Changes to these terms

We will give at least thirty days’ notice of a change that matters, by email to the studio’s administrators. If you do not accept it, cancel before it takes effect and we will refund the unused part of your current period — the one case where we do.

Which law

The laws of the Province of Ontario and the federal laws of Canada apply, and the courts of Ontario have jurisdiction.
