Built for studios

Everything your studio runs on in one place.

We got tired of running a studio across a bunch of different apps that didn’t talk to each other. So we built one that does.

You know exactly where everything is. That’s the problem.

The calendar is in Google. The alarm is in one app. The door locks are in another. The gear list is in an email. Rates live in a spreadsheet. When it’s time to invoice, you pull it all together by hand. It works because you know where everything is. Ovrseer automates it all in one system.

A booking sets everything in motion

Confirm a booking and ovrseer updates the calendar, builds the invoice, schedules access and gets the studio ready. No copying information from one system to the next.

Access takes care of itself

Door codes are created automatically for the people who need them, when they need them, and expire when the booking ends.

The building follows the schedule

Climate, access and other studio systems can respond automatically to what’s happening that day. The building gets ready before they arrive and resets when they leave.

Ovrseer doesn’t just track what’s happening at the studio. It actually does the things.

What it does

Review first — bookings that build themselves

Clients submit an inquiry through your website and ovrseer builds the booking for you: dates, spaces, requirements and an estimate based on your rates. Give it a quick review, make any changes, and approve it when you’re ready.

  • Estimates built automatically from your rates
  • Soft holds and conflicts visible immediately
  • Everything stays attached to the booking, from inquiry to wrap
  • Admin approval sets everything in motion

Warehouse already has a soft hold on Fri 18. Approving this releases it.

Both are on every plan. How bookings become bookings is your decision, not a tier.

One approval sets the studio in motion

Review the details and the rate if you want to, then confirm the booking. Ovrseer takes it from there — adding it to the calendar, sending the invoice, scheduling access, making sure the equipment is booked and getting the building ready.

  • Calendar updates automatically
  • Invoice generated and sent
  • Access codes created for the booking window
  • Equipment scheduled and assigned
  • Heating, alarm, locks and other building automations scheduled

This is the part that matters: ovrseer isn’t a place to manage six systems. It orchestrates them.

One calendar everyone can trust

Inquiries, holds and confirmed bookings all live on the same calendar, broken out by space, date and time. Change the booking and everything connected to it changes with it.

  • See inquiries, soft holds and confirmed bookings together
  • The public just sees the dates blocked. You see the details.
  • Break multi-day bookings out by space and time
  • Holds expire automatically
  • Changes flow through the rest of the booking

Everything they need while they’re here

Every booking gets its own client experience with the information specific to that shoot: access details, maps, parking, wi-fi, studio instructions and a searchable FAQ. No account or app download required.

Their booking code unlocks more than the door.

Once signed in, authorised clients can:

  • Control the heat for their space
  • Let the studio know they’re rolling
  • Arm the alarm when they leave
  • Reach booking-specific controls and information

Gear is linked to bookings

Keep your studio’s equipment, rates and availability in ovrseer. Clients can request gear with their booking, and confirmed rentals are automatically scheduled and assigned for prep and return.

Have equipment from other owners in your rental pool?

Ovrseer asks them to confirm availability and keeps track of what they’re owed.

  • Out and back, item by item, so you know what did not return
  • Swap an unavailable item and the new owner is asked properly
  • Anything nobody can supply is never charged for
  • Owner splits worked out and kept with the booking

Your building follows the booking

Ovrseer can connect the schedule to the smart systems your studio already uses. Access begins when it should. The building warms up before call. The alarm knows when people are expected. Everything resets when the booking ends.

  • One booking code across supported access systems
  • Smart locks scheduled and revoked automatically
  • HVAC pre-heats before call and resets after wrap
  • Alarm status and building access visible from ovrseer
  • Integrates with supported hardware through its API

Put ovrseer on the wall

Add an optional Studio Display anywhere clients and crew enter or work. It can show what’s happening today, check people in and out, provide access information, answer common questions and surface the controls people actually need while they’re there.

And the good part:

you decide what appears on each screen, and manage them all remotely from ovrseer.

  • Use a compatible tablet or touchscreen — no proprietary terminal
  • Locks to the page, so nobody wanders into the settings
  • A screen that has gone quiet shows up before a client notices

When they wrap, the booking doesn’t disappear

Close out equipment, confirm charges and leave private notes about the client while the shoot is still fresh. The next time they inquire, the history that matters is already there.

  • Final charges become the invoice
  • Equipment splits stay accounted for
  • Completed transactions push into your accounting workflow
  • Private notes nobody outside the studio ever sees

Inquiry → approval → the studio prepares itself → the shoot → wrap → money and history. One record, the whole way round.

The obvious questions

Asked properly, answered plainly.

Who actually sets this up?
We do, and it is included in every plan. You fill in the form, we talk for an hour, and then your spaces, rates, contract wording, gear catalogue and door codes get entered by us — including importing whatever calendar you are using now. You get it working, not a login and a wiki.
How many studios are running on this?
Two, honestly: the film studio it was built for and a production company that uses the project side of it. It has run a real building every day for a while — bookings, gear, doors, the lot — but you would be early, and the right thing to want in exchange for that is a lot of attention. You would get it.
Do you take a percentage of our bookings?
No. Stripe charges its own card fee and that goes to Stripe; the money goes to you. Ovrseer is the monthly price on this page and nothing else — no transaction cut, no booking fee, no per-client charge.
Our locks are not smart, and our alarm is ancient.
Then that part sits dormant and nothing else changes. Door codes still work as codes you hand out; they just do not open anything by themselves. Tell us the brands on the form and we will say plainly what can and cannot be wired in, before you pay anything — and if none of it can, start on Book instead of Automate.
We only have one room. Is this overkill?
For one room, Book is $29 a month and does the part you actually hate: taking the booking, pricing it and getting paid. If that room has a smart lock and a thermostat, Automate is $10 more and the room lets people in and warms itself up. Neither of those is a studio-management project.
What happens to our data if we leave?
It exports, in full, in formats you can read — bookings, contacts, gear, invoices. No ransom, no “contact sales to export”. The studio’s work is the studio’s.
Does it work on a phone?
It is mostly used on one. The front page, the calendar, check-in, approving a gear order and taking a booking all work on a phone — there are toggles further up this page showing exactly how a couple of them look. The heavier admin screens are better on a laptop, and are honest about that rather than pretending.
Can we keep our own website?
Yes. The booking page drops into the site you already have. The website builder is an add-on for studios who would rather not maintain two things — it is not a requirement, and nothing else depends on it.
What is it built on, and where does our data live?
A standard web stack on managed cloud hosting. We will tell you exactly which providers and which region before you sign anything. Nothing is trained on, sold, or shared with anybody — your clients’ details are yours.
